Using Granola for Meeting Notes

Purpose 

 

This FAQ covers when Granola may be used, how participants should be notified, who owns the official notes, and how information should be reviewed, shared, retained, and deleted.

 

Please note that this FAQ is internal guidance and does not replace any client-specific instructions, records policies, confidentiality obligations, or legal guidance.

 

Frequently Asked Questions

 

What does Granola capture?

Granola uses audio from the user’s device to create a transcript and AI-assisted notes. Granola states that it does not retain meeting audio after transcription is completed. The transcript and notes remain available in Granola until they are deleted, or an applicable transcript-retention setting removes the transcript. 

 

Does a bot join the meeting?

No. Granola runs on the user’s device, so no additional participant appears in the meeting. Because participants may not otherwise see that Granola is being used, Kasirer staff must affirmatively notify them. 

 

Do we need to tell clients that we are using Granola?

Yes. At the beginning of each meeting, the Kasirer participant using Granola must explain that the firm would like to use an AI-assisted notetaking tool and ask whether anyone objects. If anyone objects or appears uncomfortable, do not use Granola for that meeting. If Granola has already been started, stop it immediately and delete any partial notes created from that meeting.  

 

What if a client declines?

Proceed without Granola and take notes using the team’s normal process. A client’s decision not to use the tool should never affect the substance or quality of the meeting. 

 

Can more than one Kasirer team member use Granola on the same call?

Yes. Kasirer staff may use Granola individually if it helps them work effectively. However, only one person should be designated the notes lead to review and place the official meeting notes in the shared client folder. This avoids duplicate or conflicting versions. 

 

The client team decides who will post the official copy for each meeting. Other users’ copies should remain private and must not also be placed in the shared folder.

Who is responsible for the official shared notes? 

For each meeting, the client team should designate one notes lead. The notes lead is responsible for: 

 

  • Reviewing the notes for accuracy. 

  • Removing irrelevant, incorrect, privileged, or unnecessarily sensitive content. 

  • Identifying decisions, deliverables, owners, and deadlines that were discussed. 

  • Posting one approved copy in the appropriate shared client folder. 

  • Moving confirmed action items into the project-management tool when that workflow becomes available. 

 

Are Granola’s notes automatically an official record?

No. AI-generated notes may contain errors or omit context. They must be reviewed and corrected before they are relied on, shared, or used to create deliverables. 

 

Where is the information stored?

Granola states that customer data is stored on Amazon Web Services servers in the United States and encrypted both at rest and in transit. Notes are private by default and become visible to colleagues only when the user shares them or adds them to a team folder. 

 

Kasirer’s official reviewed meeting notes should be placed in the shared client folder by the notes lead. 

 

Who can see the notes?

Within Granola, notes are private by default. Kasirer staff should share notes only with colleagues who need them for client services. Do not use public links or share notes outside of Kasirer without express authorization and any required client consent. 

 

Access to the official shared copy should follow Kasirer’s existing permissions for the applicable client folder and project.

How does Kasirer protect confidential or sensitive information?

All Kasirer staff must: 

  • Use only the firm-administered Granola workspace. 

  • Notify participants and honor any objection. 

  • Avoid using Granola for a meeting when the content is unusually sensitive, privileged, legally restricted, or otherwise inappropriate for AI-assisted notetaking. 

  • Review and correct all notes before sharing. 

  • Remove content that is unnecessary for the client record. 

  • Share information only on a need-to-know basis. 

  • Never treat an AI-generated summary as a verbatim record or file it with a government body without review. 

  • Never share notes or transcripts outside the firm without express authorization and any required client(s) consent. 

 

Are client meetings used to train AI models?

Granola states that third-party AI providers such as OpenAI and Anthropic are not permitted to train on customer data. On Granola Business plans, anonymized data may be used by Granola for its own model improvements unless each user opts out.

How long are transcripts and notes retained?

Granola’s default is to retain notes and transcripts indefinitely unless a user or administrator configures a retention policy. Granola offers transcript auto-deletion settings, but deleting a transcript does not delete the associated notes. Kasirer staff must not promise a specific deletion period to any client until a firm-wide retention standard has been set. Any client-specific retention or deletion requirement should be escalated to compliance_internal@kasirer.nyc. 

 

Can information be deleted? 

Yes. Granola allows users to delete individual notes and provides transcript auto-deletion controls. Transcript deletion is permanent, but associated notes remain unless they are separately deleted.

Account-level data deletion can also be requested from Granola. 

​

Deletion of any official client record must also follow Kasirer’s internal records, applicable laws, and/or client obligations. Kasirer staff must not independently delete an official shared copy if it may be subject to those requirements. 

 

How will Granola connect to the project-management tool? 

The intended workflow is to turn reviewed meeting outcomes into useful project information: 

 

  • The notes lead posts one reviewed note in the shared client folder. 

  • Confirmed deliverables, owners, and deadlines are entered into the appropriate client project. 

  • The project-management tool becomes the source of truth for active work. 

  • Raw or duplicate notes do not become parallel task lists.

Quick Rules 

​

  • Inform participants that Kasirer would like to use Granola and ask whether anyone objects.

  • If anyone objects, do not use Granola. 

  • Everyone may use Granola, but only the notes lead posts notes to the shared client folder. 

  • Review and correct notes before they are shared or relied upon. 

  • Keep notes private unless a colleague needs access. 

  • Do not use public links or share externally without authorization and any required client consent. 

  • Move confirmed deliverables into the project-management tool once that workflow is available.

  • Escalate unusual confidentiality, privilege, retention, or deletion questions to compliance_internal@kasirer.nyc.
